Winter Party Decor Ideas

The Effective Event Solutions team have creative ideas and the practical skills to style any venue to any theme, here’s proof in the form of a winter party we recently produced:

The Banking Hall stands at the centre of London’s financial district, just opposite the Bank of England, and is a piece of banking history complete with original art deco features. So stunning is the venue that it even featured in a recent Michael Buble music video!

Our challenge was to turn the art deco venue into a winter wonderland for a corporate party of up to 500 guests – have a look at the before and after photos on our facebook page!

We installed stalactites from a suspended cloth ceiling and used UV lights to create a chilled wintery feel in the entrance hall. Extra features like the iceberg (to the left of the above photo) was actually a clever way of hiding an un-movable marble table!

For the large main hall we dressed the pillars with wintery white trees and foliage and used gobo lights to project swirling snowflakes onto the ceiling. Our event management team hired a huge snowglobe for guests to take snowy team photos throughout the evening too.

The Effective Event Solutions bar team served delicious cocktails from a sumptuous white padded bar and a long mirrored bar, which added to the overall winter style of the main hall.

The winter party decor continued upstairs on the mezzanine level, where our event designers created a cosy winter lounge complete with faux fireplace and luxe velvet seating areas.

Conferences | Motion Graphics Business Presentation

The Effective Event Solutions audio visual team were thrilled to be involved in the DAF Trucks Parts annual dealer conference at the ACC Liverpool.

In advance of the event we worked with a brief from DAF’s marketing team to create video stings introducing each presenter and then worked with all speakers to produce sharp and engaging keynote presentations.

Our team presented various options and creative ideas to the DAF Trucks team and developed a seamless business presentation for use at their annual dealer conference. We also provided onsite support to ensure all speakers (including VIP Quentin Willson one of Britain’s best known motoring speakers) were rehearsed and comfortable with their slides.

We also worked with the ACC Liverpool venue team to ensure the DAF branding was prominent and in line with brand standards throughout the venue.

The Effective Event Solutions logistics team provided accommodation, travel and catering assistance to ensure every aspect of the event ran smoothly for staff and delegates alike.

Cocktail events at V&A Museum, London

London’s iconic museums are wonderful event venues, perhaps none more so than the beautiful Victoria and Albert Museum. Here you are welcomed by a soaring ceiling of the dome which is home to Dale Chihuly’s extraordinary glass sculpture.

Recently the Effective Event Solutions team were over at the V&A Museum running the cocktail bar for the Walpole British Luxury Awards.

In fitting with the colours of the huge glass artwork we brought in a yellow backlit bar and branded the panels with company logos for Balvenie whisky, Hendrick’s Gin and Reyka vodka.

Our experienced mixologists served a classic Hendrick’s Gin and tonic, a sumptuous Balvenie Trip; Balvenie 12yr old doublewood whisky with fig syrup and bitters and the Reyka Cold Snap Cosmo; an invigorating blend of Solerno blood orange liquer, fresh blood orange juice and lime.

Alternative Christmas Parties in London

Looking for different way to celebrate the festive season this year? 2014 is the Year of the Bus for London Transport, but it’s much easier to see the city by bicycle …

Wrap up warm and take the Tally Ho Ho Ho Christmas tour of the capital! A single group is usually around 12 cyclists but we can have multiple guides to take a group of up to 40.

Your group will take a merry winter’s ride around London against the backdrop of glittering Christmas lights and festive decorations adorning many of the buildings and shop fronts you pass. The tour guide(s) will lead you around some classic sights as well as the best of London’s seasonal happenings.

Wrap up warm and swap the traditional office ‘do’ for an alternative view of the capital as the sun goes down and everything lights up for Christmas!

The tour guide(s) will stop frequently to tell you quirky historical tales, insider tips and also to take a pit-stop at Hyde Park’s famous Winter Wonderland (grab a mulled wine while you’re at it!). The Art of Champagne Events

You’ve probably been to plenty of events where you were met with a nice chilled glass of bubbly, but were any of those drinks particularly memorable?

Champagne (or even sparkling wine) has become a standard ‘welcome drink’, you will find it included in many catering packages, and most certainly at package Christmas parties! A classic for sure, but would you miss it?

For those of you not brave (or adventurous) enough to do away with the fizz completely, here are a few ways to liven up the traditional event welcome drink:

Sabrage

At most champagne events the bottles are opened quietly behind the bar and glasses filled in advance of guest arrival, whilst this is necessary when welcoming large numbers you can still inject a little showmanship by slicing the top off the bottles using the traditional art of Sabrage. Check out this video from Difford’s Guide to see how it’s done.

Walking Tables

Whatever your event theme there is a human table costume to suit it! The Olympic torch, a comedy granny and classic Union Jack are just a few examples. Experienced staff don extravagant costumes to serve everything from champagne and canapes to cupcakes and finger food to your guests.

Aerial Service

Trained acrobats wow your guests by pouring champagne from the air as they arrive at your venue! Choreographed acts can be produced with multiple acrobats on rigged hoops or a stunning ‘champagne’ chandelier. Ceiling height and rigging restrictions are dependent on the venue though.

Historic Champagne Cocktails

Possibly the most famous cocktail recipe selection of all time; ‘The Savoy Cocktail Book’ by Harry Craddock (first published in 1930) contains some divine creations. Our absolute favourite is the French 75.
Made with gin, fresh lemon juice, simple sugar syrup and of course Champagne, the inspiration for the name was apparently due as a tribute to the 75mm Howitzer field gun that the French and Americans used in World War 1 – the French 75 cocktail was said to have such a kick that it felt like being hit by that piece of weaponry.

Contemporary Champagne Cocktails

Classic champagne cocktails such as the bellini and mimosa are being updated with contemporary flavours like blood orange or lavender.

Glassware

A flute or a coupette (pictured)? Legend has it that the first 18th century coupe was modeled on the breast of Marie Antoinette, more recently supermodel Kate Moss celebrated 25 years in fashion in the same style – read more about that here.
Your choice may depend on the setting for your event; flutes are thin and tall thus more can be displayed for events with large numbers, but coupettes have a more glamorous feel for smaller intimate events (as proved by Ms Moss!)

Team building activities Stockholm – from speed boats to whisky tasting!

Scandinavia has a huge range of options for corporate events. From Lapland snow experiences in the north to chic design hotels in the south (here’s one of our favourites in the Danish capital Copenhagen).

Last week the Effective Event Solutions team were out in Stockholm, Sweden with a group of senior executives from offices around the globe. Following a successful few days of meetings and private dinners, we took them out to experience the city in a totally different way … from the water!

Stockholm city is composed of 14 islands surrounded by the archipelago waters and a further 2,000 islands (many uninhabited) deeper out towards to the Baltic sea. Almost 30% of Sweden’s capital city is made up of waterways so getting the opportunity to go out on the water is must!

We took 24 guests (in full wind & rain proof outfits!) out on RIB speedboats to race around the archipelago. Each team was given a nautical map and a booklet of challenges / questions from which they designed (and navigated!) their own route with the aim of winning the most points.

After an adrenaline filled hour and a half on the archipelago, the jubilant teams were welcomed to Fjäderholmen island for a VIP whisky tasting at Mackmyra.

The Mackmyra distillery is the first in Sweden and produces a variety of single malts. Our group were able to taste 7 varieties with the expert guidance of an in-house whisky master. Once we had warmed everyone up with a few whisky drams we took a leisurely tour boat cruise through central Stockholm city with a local guide telling tales and stories as we sailed.

To end the day in true Scandinavian style we took the group for a sumptuous dinner at Restaurant J Nacka with fine wines and beautiful night time views of the archipelago.

How to plan a Corporate Christmas Party

Full of festive spirit but dreading having to plan the office party this year? Here are some handy hints and tips from the Effective Event Solutions team on how to plan a corporate Christmas party.

When it comes to planning a company Christmas party there is no such thing as too early: you may not want to be thinking about tinsel and mulled wine in April, but this could be a great time to book a bargain and ensure the best date for your event.

Pick a date: Midweek nights will be cheaper (as will late November and even January if you can get away with a post-xmas do), but can you afford the inevitably unproductive, hungover day after?

It can also be a good idea to send a few date options around the office and gather feedback on everybody’s preference. You can’t please them all, but it will give you an idea of attendance numbers which can influence your venue choice.

Save the date: even if you don’t have details such as the venue, theme etc. pinned down, it is good to get a date in people’s diaries as early as possible.

Budget: Whether extravagant or scrimping you need to have a budget in place before you look at anything else; there is nothing worse than finding the perfect venue and then getting a big fat NO from your company’s finance team.

Once you have an idea of budget think about what is most important to your guests i.e. if they’re party animals and love a few drinks then allocate a larger part of your budget to the bar – picking a cheaper venue but wowing them with cool cocktails will be a winner!

Try and leave a some budget aside for ‘unexpected costs’ too, last minute changes can be tricky if you’ve already splurged the whole lot!

Type of party: these days a company Christmas party can take many forms, bear in mind this is a ‘thank you’ to your colleagues so think about what they would want.

  • Location – close to the office? Close to good transport links?
  • Numbers – can they bring a plus one?
  • Time – a daytime event or evening party? Or even both if you combine the party with a company meeting as you have everyone in one place.
  • Party style – Bespoke party or package deal? A bespoke party means a lot more work, finding a venue (or using a space within your own office) and booking all the other party elements (e.g. catering, décor, entertainment) but it does allow you to create something designed exactly for your company.
  • A package bought from a venue feels a lot easier as they provide all the elements, however it is likely they will run a theme for the entire Christmas period (e.g. Hollywood glam, winter wonderland or James Bond) so you don’t have any choice on theme.
  • A package bought from an event agency (like us at Effective Event Solutions!) is the best of both worlds, the agency bring together all the bespoke elements for you and package it up into one invoice.
  • Private or shared? Many package venues offer both exclusive nights and shared nights – the shared nights work well if you have a smaller group as you still get the same great prices as a bigger group, you just have to share the night with other small companies.

Venues: Use internet searches to narrow down ideas by size, style or location and go from there, if you have time then do site visits and see the event spaces. Many venues offer Christmas open days where you can see the rooms as they will look during the festive period.

Entertainment: Utilise your venue contact’s on-site knowledge to find out what has worked well, or not so well, there in the past. If you have the budget for a big showbiz act then try to speak direct to their agent to ensure you’re getting the best price.

Catering: Food is the big feature of most Christmas parties and there are many different ways to do it. Whether it’s a traditional turkey sit down feast or casual bowl food, speak to your caterers about different options and make sure there is plenty of it!

When sending out company-wide save the dates or invites it is also a good time to request any special dietary requirements, things like Kosher or Halal meals are often an extra expense so it’s good to work out numbers early.

Drinks: Sparkling wine is the classic welcome drink but how about a nice warm winter Pimms or mulled wine to welcome guests in from the cold? Have you got the budget for pre-paid drinks or will you have a cash bar? If you have a crowd of big drinkers but minimal budget it could be sensible to offer just house wine and beer as complimentary, then have spirits on a cash bar.

Accommodation: if the venue isn’t near your office or the majority of your colleague live further afield, it could be a good idea to pre-book some accommodation. Many hotels will let you reserve a block of rooms and allow guests to pay personally, so don’t worry if you don’t have enough in the budget for this!

Speeches: Having the whole company or team in one room is a great chance to thank everyone for their hard work and present awards for outstanding achievements, think about the scale of your venue – do you need a PA system or relay screens to ensure everyone can hear and see?

Photographer: You’ve arranged an incredible night to remember, so it’d be a shame not to have a record of all the fun. Photo-booths are a great idea, from simple machines to full Christmas scene sets with professional photographers, there is an option for every budget. You can link the booth to a big screen and live stream all those cheesy grins to the rest of the crowd too!

Cloakroom: If the venue doesn’t provide one as standard then you need to make sure you have sufficient space and security to bring one in – make sure there are enough staff for peak times (i.e. arrival and departure) to avoid long queues! Also bear in mind where you’re guests are travelling from, might they have suitcases? If so hire stackable tables or shelves to maximise space for bags and cases.

Security: Even if the event is held in your office it is a good idea to have a security guard, they will ensure no uninvited guests sneak in but are also on hand for any drunken disagreements and can ensure guests leave safely (and quietly if it is a residential area).

With pressure coming from both the time constraints to book the best date at a great venue along with trying to please everyone from accounts to marketing can seem like an impossible task, if that’s the case you can always ask us to do it for you!

Simple shell schemes are great for your first trade shows and exhibitions: minimal cost, while you test out the consumer response to your company and/or brand. But once you know what and where you should be exhibiting it’s time to think bigger …

Brand it BIG

The first thing people see should tell them instantly who you are and what you do. If your logo isn’t wildly creative and exciting then think of a tag line that sums up your business or why you are better than your competition. And print it BIG! Shell scheme stands tend to have standard font company names making every company look the same, make yours bigger and better so it catches the eye of everyone walking past.

Visual Merchandising

A term more often applied to retail, visual merchandising is just as important at exhibitions and trade shows, whether your selling bricks or houses you need to put your best products in the lime light.

If you’re selling services or non-tangible products like holidays (we all understand you can’t bring Barbados to Earls Court) then it’s about making an impact in other ways. The hard part is often getting people on to your stand – catering and comfy seating are an easy way to appeal to consumers; a light bite canapé or a big plush sofa are a big temptation for the weary exhibition goer – once they’re in it’s up to your sales team to keep them there!

If you have physical products to sell then they need to be displayed well, something out of the ordinary e.g. hanging from the ceiling, will attract attention or create a bespoke display stand out of relevant materials or in the shape of something associated with your business … stuck for ideas? Leave a lasting impression

How many exhibitions have you left with a bag full to the brim of leaflets and business cards? And how many of those pieces of flimsy paper have you kept? Exactly.

Branded merchandise is a brilliant way to leave a good impression, we’re not talking about sticky message bugs though, there are a whole host of brand-able items that will have much more impact. If it’s not as obvious as golf course giving away golf ball shaped lip balms, then think about your brand message and the associations you can make with that.

Or better still, have something people really want. We all have logo mouse mats, so put next years calendar on yours and make it useful! Team building ideas – Try an animation workshop

Got a soft-spot for Wallace & Gromit or fond childhood memories of Morph? Then why not try your hand at stop-motion animation and boost team working relationships at the same time!

Coming together as an animation film crew you and your colleagues will work on skills in communication and creative problem solving to fulfill your film brief.

How many people can I bring?

These team building ideas work best for around 10-30 participants, working in 6 groups of 2-5 on 6 sets of equipment. Although it can be scaled up for larger groups or used in conjunction with other activities to allow maximum participation.

How Long does it take?

Workshops can be run according to your time-schedule, so this can be a full day out or an afternoon of fun after a company conference or meeting.

A one-day workshop (5-6 hours) would allow each group to devise an idea for their film, produce a storyboard, make models/characters and props using modelling clay and then produce animated films around 30-40 seconds long complete with titles, credits, music and possibly sound effects.

A half-day workshop (2-3 hours) would allow each group to devise an idea for their film, make more basic models/characters using modelling clay, producing animated films around 20-30 seconds long complete with music.

Where can I do this team building activity?

Wherever you like! We can bring all the necessary equipment to your office if you have free space for tables/participants, or Effective Event Solutions can source the perfect off site venue for you.

All equipment and materials are provided including Apple Macbook Laptops, Sony digital camcorders, lights, tripods, backgrounds, modelling clay and stop-motion/post-production software.

Each participant would receive a DVD copy of the animations produced, (sent after the workshop).
